Privacy notice: meetings recorded and transcribed with Braini

Version of 22 October 2026

An organisation uses Braini Companion, software installed on the computers of some of its staff. Braini records and transcribes online and in-room meetings to prepare the meeting report.

This notice concerns you if you take part in such a meeting. It describes how Braini works by default; if the organisation has given you its own notice, that notice prevails.

Who is responsible

The organisation of the person using Braini is responsible for the recording, the transcript and the report (the controller). It is up to that organisation to tell you why the meeting is recorded and on which legal basis (its legitimate interest or your consent).

Croozy Studio publishes the software. It receives no meeting content.

What is processed

  • The meeting audio: the microphone of the person using Braini and the meeting sound, recorded on their computer.
  • The transcript: what is said, with the time and language, and any translations.
  • The names of the people who speak and, where relevant, their job titles, entered or confirmed by the person using Braini, and their notes.
  • The meeting report.
  • Depending on the organisation's settings, screenshots of the meeting window and, where applicable, of the screens of the person using Braini; they may show faces, names and shared documents.
  • Meeting documents added by the person using Braini, if any.
  • Depending on the organisation's settings, voice comparison: short voice clips of people already named are sent to the transcription service to recognise them; no voiceprint is kept.
  • Technical data without content: start and end times, duration.

Why

To produce the meeting transcript, any translation and the meeting report, and to show who spoke. The transcript and report are produced by artificial intelligence and may contain errors; the person using Braini reviews and corrects them. No decision with legal effects is made automatically.

Where the data goes

  • On the computer of the person using Braini: the audio, the transcript, the names and the report.
  • Gladia (a French company) transcribes and translates the audio.
  • Scaleway (a French company, hosted in Paris) prepares the report from the transcript. Scaleway does not use this data to train models.
  • Croozy Studio receives no meeting content: only usage counters, without names.

How long

  • At Gladia: Braini requests deletion of the audio and text as soon as each processing step ends, and checks that they can no longer be read. Gladia keeps technical data without content (request ID, time, status) for one year.
  • At Scaleway: no retention of content, except for up to two weeks in case of abuse or error.
  • On the computer: according to the organisation's rules, which you can ask it for.
  • Application technical log, on the computer, without any meeting text: 6 months.

Refusing during the meeting

Say so aloud or write it in the chat, at the start or at any time. The person using Braini can pause or stop the recording at once, then delete what was recorded. Braini cannot yet remove only your own contributions.

Your rights

You can ask for access to your data, its rectification, erasure or restricted processing, and you can object to the processing; if the meeting relies on your consent, you can withdraw it at any time. Contact the person using Braini or their organisation, giving the date and subject of the meeting.

Croozy Studio has no access to meetings or reports and therefore cannot answer on the organisation's behalf.

If you use Braini

Braini keeps on your computer, without any meeting text, when it reminds you to tell the participants, when it hears “Braini”, and whether you confirm or close the reminder. The aim is to observe usage to improve the product. Croozy Studio receives only aggregated rates per organisation, never a per-person list.

Complaints

You can contact the French data protection authority, the CNIL (cnil.fr), or the data protection authority of your country.

Updates

This notice follows the evolution of Braini. The date of the current version is shown at the top of the page.
